Fireflies is an AI meeting notetaker that joins your Zoom, Google Meet, Teams, and Webex calls, records the audio, transcribes it, and writes a summary with action items.
The bot, Fred, can join automatically from your calendar or be invited manually. After the call, you get a transcript, an AI summary, speaker talk-time analytics, and the option to push notes into your CRM or Slack.
There is also an AskFred chat assistant for querying past meetings, plus file upload for transcribing audio you recorded elsewhere. The free tier is genuinely usable, with unlimited transcription and 400 minutes of storage per team.
Before Fireflies, I was always distracted by trying to scribble down notes. Now, I can be 100% present in the conversation, which is honestly priceless to me.
Where it earns its keep
The core job is capture and summarize, and Fireflies does that well. G2 sits at 4.7 across 752 reviews, and TrustRadius at 9.3 out of 10, with reviewers praising transcription accuracy and the time saved on manual notes.
For sales teams, the CRM sync is the real draw. Meeting notes, transcripts, and action items flow into HubSpot or Salesforce automatically, cutting post-call data entry to near zero.
The global search across past meetings is a sleeper feature. Reviewers say being able to find a specific phrase spoken months ago, across hundreds of calls, is what keeps them subscribed.
Fireflies is perfect for any video meeting or phone call where you want to pay attention and need to take notes at the same time. You can rest easy knowing the notes are being taken for you and will be sorted effectively.
Where it'll bite you
The bot's reliability is the number one complaint. Multiple reviewers report a roughly 10% failure rate where Fred simply doesn't show up, even with correct calendar settings. For a tool whose entire value is capturing the call, a missed meeting is a silent failure you only discover after it's too late.
The flip side is aggressive auto-join. If your calendar permissions aren't locked down, Fred can crash private one-on-ones or confidential meetings uninvited. One G2 reviewer called the default behavior "pretty aggressive."
Enterprise security is the third trap. A Reddit thread from a sysadmin at a 500+ user company describes Fireflies failing their formal security review: vague data-handling documentation, limited admin controls, no data residency options. SOC 2 Type II and HIPAA are there on paper, but the depth enterprises need is not.
I have my settings, correct but Fireflies.ai doesn't always attend every Zoom meeting or every teams meeting. It does about 90% of the time, but there is a 10% failure rate which causes us a huge problem for me.
What it costs, really
Free gets you unlimited transcription and 400 minutes of storage per team, with 20 AI credits. Pro is $10 per seat per month billed annually ($18 monthly), with 8,000 minutes of storage and the same 20 AI credits.
Business jumps to $19 per seat per month annual ($29 monthly) with unlimited storage and 30 AI credits, adding conversation intelligence and team analytics. Enterprise is $39 per seat per month, annual only, with 50 AI credits, SSO, SCIM, and HIPAA compliance.
The hidden cost is AI credits. Each tier ships a fixed allowance, and AskFred queries, AI summaries, and other features burn through them. Additional credits start at $5 for 50 per month, so heavy AI usage can quietly push the real bill past the sticker price.
The bot's auto-join behavior can feel pretty aggressive by default. If you're not extremely careful with your calendar permissions and your Fireflies dashboard settings, it may end up joining private 1-on-1s meetings uninvited, which can be awkward. On the flip side, there are also times when the bot doesn't join a meeting at all, and there's no clear reason why.
Fireflies got flagged on several points which led to evaluating alternatives. Data handling documentation was vague in places. Our security team couldn't get clear answers on specific data flow questions. Admin controls were limited for an organization our size (500+ users).
